What we collect when you visit softpool.com, why we collect it, and how to get it removed.

Who we are
SoftPool is a Google Cloud services firm headquartered at 360 NW 27th St, Miami, FL 33127, United States. For anything in this policy, write to support@softpool.com or call 786-422-1697.
This policy covers softpool.com. It does not cover services we operate inside a client's own cloud environment, which are governed by the contract with that client.
What we collect
Information you give us. If you complete the AI readiness assessment and ask for the report, we collect the email address, name and company you enter, along with your answers and score. If you use the chat assistant, we process the messages you send. If you email or call us, we keep that correspondence.
Information about your visit. We keep our own first-party record of the pages you view, the page you arrived on, the site that referred you, and any campaign tags or advertising click identifiers appended to the link you followed. We store this against a random identifier in a cookie we set ourselves. It is not your name and we do not try to work out who you are from it.
Information from advertising and analytics providers. With your permission we load tags from Google, LinkedIn and Meta. Those providers set their own cookies and collect data under their own privacy policies, which we do not control.
We do not collect special category data, we do not knowingly collect anything from anyone under 16, and this is a business site that is not directed at children.
Why we collect it
- To answer your enquiry and to send the assessment report you asked for.
- To understand which campaigns and content bring people to the site, so we spend our marketing budget on the ones that work.
- To operate, secure and improve the site.
- To meet our legal and accounting obligations.
Where the law requires a legal basis, we rely on your consent for advertising and analytics tags, on our legitimate interest in understanding and improving our own website for our first-party measurement, and on steps taken at your request when you ask us for something.

All five are first-party and cannot be read by scripts running on the page, except sp_consent, which only records a preference. Google, LinkedIn and Meta set their own cookies when you allow advertising and analytics; declining means they are never loaded.
Your choices
The banner on your first visit lets you accept, decline, or choose analytics and advertising separately. Declining does not limit anything on this site. You can change your mind at any time by clearing this site's cookies in your browser, which brings the banner back.
Your browser's "do not track" and global privacy control signals are respected where the law requires it.
Who we share it with
We do not sell personal data. We share it only with providers who process it for us: hosting and content delivery, our database provider, the email and scheduling tools we use to reply to you, the provider behind the chat assistant, and the advertising and analytics platforms listed above when you have allowed them. We may also disclose information where the law requires it.
Our providers are based in the United States and the European Union. Where personal data moves between them, it is covered by the standard contractual terms those providers publish.
How long we keep it
First-party visit records are kept for 24 months and then deleted. Enquiries, assessment submissions and correspondence are kept for as long as we have a business relationship and for seven years afterwards, which is the period our tax and contractual records have to cover. You can ask us to delete yours sooner.
Your rights
Depending on where you live, you can ask us for a copy of what we hold about you, ask us to correct or delete it, object to how we use it, or ask us not to sell or share it — we do not sell it in any case. We will not treat you differently for asking.
The quickest route is the data deletion and access request form. You can also email support@softpool.com. We reply within 30 days. When we delete your data we remove it from every store that holds it, including our visit records and any chat or assessment history, not only from our contact list.
Changes
If we change this policy we update the date at the top. Material changes will be flagged on the site.
